GST bill book format: what your invoice must actually contain
A bill book is a compliance document before it is a print job. Getting the format wrong does not become obvious at the printer — it becomes obvious at filing, or during an assessment, by which point you have several hundred incorrectly formatted invoices in circulation.
Required fields on a GST tax invoice
| Field | Detail |
|---|---|
| Supplier details | Name, address and GSTIN of the supplier. |
| Serial number | A consecutive series, unique for the financial year. |
| Date of issue | The invoice date. |
| Recipient details | Name, address and GSTIN where the buyer is registered. |
| Place of supply | Required for inter-state supply. |
| HSN / SAC code | HSN for goods, SAC for services. |
| Description | Description, quantity, unit and total value. |
| Taxable value | Value after any discount. |
| Tax breakup | CGST + SGST for intra-state; IGST for inter-state. |
| Signature | Signature or digital signature of the supplier. |
Duplicate or triplicate?
The number of copies depends on whether you move goods.
| Type | Copies | Typical user |
|---|---|---|
| Duplicate | Original for buyer, one retained copy | Service businesses, counter retail |
| Triplicate | Original, transporter copy, retained copy | Traders and manufacturers moving goods |
In Surat this maps closely to trade. Ring Road textile agents and Sachin GIDC manufacturers almost always take triplicate, because goods are moving and the transporter needs a copy. A consultant or clinic in Vesu generally needs only duplicate.
What is NCR paper?
NCR stands for no carbon required. The sheets are chemically coated so writing on the top copy transfers to the sheets below, without a loose carbon sheet to insert and remove. It is cleaner, faster in use, and now standard for bill books.
Practical points when ordering
- Check your GSTIN character by character at the proof stage. A wrong GSTIN on 500 invoices is an expensive reprint.
- Leave enough column width for real handwriting — cramped invoice grids get filled in illegibly.
- Order several books at once. Setup cost is shared across the run, so per-book price drops noticeably.
- Tell the printer your last used serial number so the new series continues correctly.
- Decide on perforation up front if you need to tear copies out cleanly.
Getting it printed
We print GST bill books in duplicate and triplicate on carbonless NCR paper, with sequential numbering, HSN columns and the correct tax breakup laid out. Typical turnaround is four to six working days. If you are unsure what your book needs to carry, call +91 74055 25038 and we will go through it before printing rather than after.
